This Privacy Policy explains how we collect, use, disclose, and safeguard personal information across our website, opt-in communications, and interactive tools.

1. Information We Collect

We collect information directly from you when you submit a form, access our interactive roadmap tools, or communicate with us:

  • Contact & Business Profile Data: First and last name, email address, mobile phone number, business entity name, and website URL.

  • Roadmap & Operational Inputs: Business goals, tech stack details, operational challenges, workflows, and prompts submitted to generate custom roadmaps.

  • Device & Technical Data: IP address, browser type, device details, operating system, and engagement timestamps.

  • Communications: Records, transcripts, or notes from inquiries sent to [email protected], as well as live chat, form responses, or SMS interactions.

2. How We Use Your Information

We process personal information to:

  • Generate, tailor, and deliver your AI-powered operational roadmap.

  • Provide consulting, implementation, and follow-up support.

  • Send transactional notifications, calendar reminders, and system updates.

  • Deliver marketing communications and educational resources (strictly when express consent is provided).

  • Ensure platform integrity, prevent misuse, and satisfy regulatory or legal obligations.

3. AI Processing & Disclosures

Our roadmap tool utilizes artificial intelligence infrastructure powered by GoHighLevel AI (GHL AI) and secure large language model subprocessors:

  • Scope of Processing: Any information, workflow prompts, or diagnostic data submitted into the roadmap generator are processed solely to analyze operational bottlenecks and generate recommendations.

  • Model Training Protections: Your inputs, personal information, and proprietary business context are not sold, rented, publicly displayed, or utilized to train general foundation AI models.

  • Advisory Nature: AI outputs serve as directional planning tools. They should be reviewed against your organization's unique requirements prior to live implementation.

4. SMS & Mobile Messaging Compliance (A2P 10DLC)

Mindful Digital LLC adheres strictly to carrier compliance and data protection guidelines:

  • Strict Non-Sharing Policy: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

  • Explicit Opt-In: Mobile consent is collected through distinct, unchecked check boxes on web forms. Agreeing to SMS messaging is never a condition for receiving a roadmap or digital service.

  • Opt-Out: Text STOP to any of our messages at any time to immediately cancel communications. A single confirmation will be sent, and no further messages will follow unless you re-subscribe.

  • Help & Support: Text HELP to any message for assistance, or email [email protected].

5. Tech Stack & Third-Party Service Providers

We utilize GoHighLevel (GHL) as our primary tech platform. GHL acts as a data processor for:

  • Contact management, CRM storage, and pipeline tracking.

  • Automated email delivery, SMS dispatch, and scheduling calendar functions.

  • Native AI workflow execution and roadmap generation.

We require all service providers to implement stringent administrative, technical, and physical security measures to protect your data.

6. Data Retention & Your Rights

  • Retention: Data is kept only as long as necessary to provide requested services, resolve issues, and satisfy accounting or legal obligations.

  • Your Rights: Depending on your jurisdiction, you have the right to request access to, correction of, or deletion of your personal records. Contact [email protected] to submit a request.
